That is the wrong frame, and it is why so many campaigns underperform even when the "right" hour is chosen. Timing on WhatsApp is actually three separate decisions — the slot your message should land in, the throughput window your list size forces on you, and the follow-up ladder after the first message. Get the hour right but ignore the other two and a 5,000-contact broadcast that you scheduled for 7 PM will still be trickling out at 6 AM.

The Part Nobody Plans: Throughput Window

This is the single biggest timing mistake we see. Operators pick a beautiful 7 PM slot, then push a 5,000-contact list at it — and the list physically cannot be delivered inside that slot. Worked example. A Jaipur ethnic-wear store has 4,000 opted-in customers and a Sunday sale. Naive plan: schedule all 4,000 for Sunday 6 PM. Reality: the tail of that list receives the message at roughly 5 AM Monday, after the sale has already started, and those recipients see a "sale today" message on the wrong day. Correct plan: 1,000 contacts per evening across Thursday, Friday, Saturday and Sunday, each batch starting at 6:15 PM. Every recipient lands inside a peak window, and you get four days of staggered footfall instead of one spike plus 3,000 wasted messages.

The rule: schedule by batch start time, and size the batch so it finishes before your window closes. Segment the list first — contact segmentation makes the batches meaningful instead of arbitrary.

Timing decides your message category too

Once a customer replies, you have a 24-hour customer service window in which your replies are billed at the service rate of about ₹0.08 instead of ₹0.92. So a campaign timed to land when your team is actually at their desks converts expensive marketing sends into cheap service conversations. A campaign that lands at 11 PM generates replies you answer at 10 AM the next day — often still inside the window, but with eleven hours of dead air that kills intent. Send when you can answer. Times to Avoid

How to Actually Schedule It (Step by Step)

  1. Build or pick the contact list. Import your CSV into a named contact list. If the list is over 1,000, split it into evening-sized batches now, before you touch the scheduler.
  2. Write the template with variables. Use placeholders like {{name}} and {{city}} so each recipient sees their own details. Variables lift response meaningfully and cost nothing extra.

  • Scheduling the finish, not the start. The reason half your list gets a "today only" offer tomorrow.
  • Sending when nobody can reply. Wasting the cheap 24-hour service window is a pure cash loss.
