The 12 New WhatsApp Group Admin Tools (June 2026 Update)

WhatsApp added these features to both regular groups and WhatsApp Communities. Most tools are available on Android, iOS, and WhatsApp Web. Here's the complete list with how to use each one.

1. Member Approval Queue

Previously, anyone with a group link could join instantly. Now admins can enable approval mode — users who click the link land in a pending queue, and admins review each request before approving.

How to enable:

  1. Open group > Group Info > Group Settings
  2. Tap Join approval
  3. Toggle on Require admin approval

How it works:

  • Users who join via link or QR code land in the approval queue
  • Admins see pending requests in a new Pending members tab
  • Each request shows: profile photo, name, phone number, and join source
  • Admins can approve, reject, or reject with custom message
  • Approved members join immediately; rejected members get notification

Best for: Private communities, customer groups, paid membership groups where you need to verify members before entry.

2. Scheduled Group Messages

Admins can now schedule messages to send at a specific date and time. Great for announcements, reminders, and coordinating across time zones.

How to schedule a message:

  1. Open group chat
  2. Tap the + icon next to the message input
  3. Select Schedule message
  4. Write your message (text, media, polls, links all supported)
  5. Pick date and time
  6. Tap Schedule

Scheduled messages appear in a new Scheduled tab in Group Info. You can edit or delete them before they send. Maximum 50 scheduled messages per group.

Use cases:

  • Event reminders (send at 8 AM on event day)
  • Weekly announcements (schedule Monday updates every Sunday)
  • Time-zone coordination (schedule for recipient's morning, not yours)

3. Polls with Analytics

WhatsApp polls launched in 2022, but the new 2026 update adds detailed analytics — admins can now see exactly who voted for what, export results to CSV, and close polls manually.

  • Voter breakdown: Tap any poll option to see full list of members who voted for it
  • Export results: Download poll data as CSV (name, phone, vote, timestamp)
  • Close poll manually: Stop accepting votes before the auto-expiry time
  • Anonymous voting option: Hide voter identities (only total counts visible)

How to create a poll with analytics:

  1. Open group chat
  2. Tap + > Poll
  3. Write question and options
  4. Toggle Show voter details (admins always see details; this controls member visibility)
  5. Set expiry (1 day, 3 days, 1 week, or custom)
  6. Send poll

After members vote, tap the poll > View results > tap any option to see who voted for it. Export via the menu > Export poll data.

4. Auto-Moderation Filters

The most requested feature. Admins can now set content filters to automatically delete messages containing banned keywords, links, or media types. Violators get warnings, and repeat offenders are auto-removed.

How to set up auto-moderation:

  1. Group Info > Group Settings > Auto-moderation
  2. Configure filters:
    • Keyword blacklist: Add words/phrases to auto-delete (e.g., spam, profanity, competitor names)
    • Link blocking: Block all links, specific domains, or shortened URLs only
    • Media restrictions: Block images, videos, documents, or voice notes
  3. Set warning policy:
    • Warnings before removal: 1, 2, or 3 strikes
    • Auto-remove after warnings: Toggle on/off
    • Notify admins: Get alert when member is warned/removed
  4. Save settings

When a message violates a filter, it's auto-deleted and the sender gets a private warning message explaining which rule was broken. Admins see a moderation log in Group Info.

Best for: Large groups (500+ members), customer communities, brand groups where spam and off-topic content are common problems.

5. Custom Admin Roles

Previously, all admins had the same permissions. Now you can assign specific roles with limited permissions — perfect for delegating tasks without giving full admin access.

Available roles:

  • Super Admin: Full permissions (default for group creator)
  • Moderator: Can delete messages, remove members, manage approval queue (cannot change group settings or add admins)
  • Event Manager: Can schedule messages, create polls, send announcements (cannot delete messages or remove members)
  • Content Manager: Can pin messages, edit group description, change group photo (cannot manage members)

How to assign roles:

  1. Group Info > tap admin name
  2. Tap Change role
  3. Select role from list
  4. Confirm

  • Delegate moderation to trusted members without giving full admin access
  • Assign event coordinators who can schedule reminders but can't remove members
  • Give content team permission to post announcements without access to member management

6. Member Activity Reports

Admins can now see detailed member activity: who's active, who's lurking, who never posts. Helps identify engaged members and inactive users.

  • Messages sent (last 7 days, 30 days, all time)
  • Last active date
  • Poll participation rate
  • Reactions given/received
  • Media shared count

How to view:

  1. Group Info > Member activity
  2. Sort by: Most active, Least active, Recent joins, Never posted
  3. Tap any member to see detailed stats

Export activity report as CSV: Group Info > Member activity > > Export report.

7. Bulk Member Management

Add or remove multiple members at once instead of one-by-one. Saves hours for large groups.

How to use:

  3. Select multiple contacts from list (or paste phone numbers in CSV format)
  4. Confirm bulk action

Maximum 50 members per bulk operation. For larger operations, repeat in batches.

8. Announcement-Only Hours

Set specific hours when only admins can send messages. Members can still read and react, but can't post. Great for structured communities with dedicated Q&A or announcement windows.

How to configure:

  1. Group Settings > Send messages
  2. Toggle Announcement-only hours
  3. Set start time and end time (e.g., 10 AM - 11 AM daily for announcements only)

During announcement hours, only admins can send messages. Members see a notice: "Only admins can send messages during this time."

9. Member Search and Filters

In groups with 100+ members, finding specific members was tedious. Now there's a search bar and filters.

Search and filter options:

  • Search by name or phone number
  • Filter by: Admins, Recently added, Never posted, Pending approval
  • Sort by: Name (A-Z), Join date (newest/oldest), Activity (most/least)

Access via Group Info > tap search icon at top.

10. Group Templates

Save your group settings (description, rules, moderation filters, admin roles) as a template to reuse when creating new groups. Huge time-saver for businesses that run multiple similar groups.

How to create template:

  1. Configure your group perfectly (settings, filters, roles, description)
  2. Group Info > > Save as template
  3. Name your template
  4. Select which settings to include in template
  5. Save

When creating a new group, tap Use template and pick from your saved templates. All settings auto-apply.

11. Automated Welcome Messages

Send an automatic welcome message to every new member who joins the group. Great for onboarding, sharing group rules, or directing members to pinned resources.

How to set up:

  1. Group Settings > Welcome message
  2. Toggle on Send welcome message
  3. Write your welcome message (supports text, emojis, links)
  4. Optional: Attach group rules PDF or pinned message link
  5. Save

New members receive the welcome message as a private DM from the group admin (not visible to other members).

12. Link Expiry Controls

Previously, group invite links were permanent. Now you can set expiry dates and usage limits.

How to configure:

  1. Group Info > Invite via link
  2. Tap Link settings
  3. Set expiry: 1 day, 7 days, 30 days, or custom date
  4. Set usage limit: Unlimited, 10, 50, 100, or custom number
  5. Generate link

Link auto-expires at the set date or after the usage limit is reached. You can manually revoke anytime via Revoke link.

Limitations and Workarounds

Group Size Limit (1,024 members)

WhatsApp groups still cap at 1,024 members. For larger communities, use WhatsApp Communities (which support up to 5,000 members across sub-groups) or broadcast lists.

No Cross-Group Analytics

Activity reports work per-group only. If you manage 5 groups, you can't see combined stats. Workaround: Export each group's CSV report and merge manually in Excel.

Auto-Moderation Keyword Limit (100 keywords)

You can only add 100 banned keywords. For more extensive filtering, combine with manual moderation or use third-party tools.

Should You Upgrade to WhatsApp Communities?

If you manage 3+ related groups (e.g., customer support + product updates + VIP members), Communities make sense. You get:

  • Unified announcement channel (send to all sub-groups at once)
  • Higher member limit (5,000 across sub-groups vs 1,024 per group)
  • Better organization (sub-groups within one community)

But if you have just 1-2 groups, regular groups with these new admin tools are sufficient.
